HubSpot
Authorize a HubSpot portal, select deal properties, and sync CRM and revenue data.
HubSpot supplies contacts, deals, pipeline stages, forms, sales-email activity, and selected deal properties used for revenue analysis.
Required HubSpot access
Authorize with a HubSpot user who can approve the requested app access for the intended portal. The user and portal must permit access to the CRM contacts, deals, deal schema, forms, and related analytics used by the connection. Marketing-email access can be requested where that feature is enabled.
HubSpot may require a Super Admin or app-install permission depending on the portal's plan and security policy. A normal user can connect only if HubSpot allows that user to install and authorize the requested scopes.
The HubSpot identity and portal selected during OAuth become the authorizing user and connected portal. One HubSpot portal connection serves the active Marcenta workspace; individual representatives do not connect separately.
Verify access in HubSpot
- Sign in to the intended HubSpot account using the user who will authorize Marcenta.
- Select the settings icon, then open Users & Teams.
- Select the user and open the Access tab. Under Permissions, select Edit permissions or review the current permission view.
- Confirm the user is a Super Admin or has App Marketplace access, which HubSpot requires to install apps. Also confirm the user can access the contacts, deals, deal properties, forms, sales-email data, and business-intelligence features requested by the Marcenta connection.
- Confirm the HubSpot subscription includes the requested features. A user permission cannot enable an API or feature that is unavailable on the portal's subscription.
After connection, verify the installed app under Settings → Integrations → Connected Apps → Marcenta. The app overview identifies who installed it, its app owner, the authorized features, and any permissions that require re-authentication.
A HubSpot Super Admin—or a user with permission to add and edit users, within the limits of that user's own access—can update the connecting user's permissions from Settings → Users & Teams → [user] → Access → Edit permissions. If app governance is enabled, a Super Admin can approve Marcenta under Settings → Integrations → Connected Apps → Approved apps and choose who may install it. Have the connecting user sign out and back in after permission changes, then reconnect Marcenta when HubSpot requests re-authentication.
See HubSpot's guides to managing user permissions, app approvals, and connected-app permissions.
Connect
- Open Connections → HubSpot.
- Start HubSpot authorization.
- Choose the intended portal and review the requested access.
- Return to Marcenta.
- Select up to two custom deal properties when prompted.
- Complete setup and allow the initial import to run.
Choose custom properties that are stable, populated, and meaningful across the sales process. Do not select a temporary field solely because it currently contains convenient values.
Data and downstream use
Imported contacts, deals, stages, and selected properties can support revenue reports and incident detection. Results depend on consistent lifecycle, pipeline, owner, amount, currency, and close-date practices in HubSpot.
Manage
Use the connection page to review status and sync timestamps, sync recent data, import history, reconnect, or disconnect. Reconnect if the authorized portal, user access, or app authorization changes.
If a selected custom property is renamed or repurposed in HubSpot, review downstream report definitions and interpretation.
Troubleshooting
| Symptom | What to check |
|---|---|
| The portal cannot be authorized | Confirm the user can install apps and approve the requested scopes |
| Expected deals or contacts are missing | Verify the portal, object permissions, source sync, date range, and record state |
| A custom property is unavailable | Confirm it is a deal property visible to the authorized user |
| Revenue totals differ | Match pipeline, stage, currency, close date, amount field, and filters |
| Sync stopped after a role change | Reconnect with a user who still has the required portal access |
HubSpot CRM and sales-email data can contain personal and commercially sensitive information. Connect only the intended portal and restrict Marcenta workspace access appropriately.
