Workspace Users and Calendars

Invite users, assign roles, import a team, and connect representative Google Calendars.

Open Settings → Users to manage workspace membership and the representative calendars used for meeting booking.

Roles

Use the lowest role that fits the person's responsibilities. A Routing-only user is appropriate for a seller who needs to receive meetings but should not use the broader Marcenta workspace.

Add one user

Owners and admins can add or invite users.

  1. Open Settings → Users.
  2. Enter the person's name and email address.
  3. Choose the intended role.
  4. Send the invitation or add the user.

A person who already has an eligible Marcenta account can be added directly. Otherwise, they receive a pending invitation. Pending invitations can be resent or revoked.

Import users from CSV

Use the downloadable template for a larger team. Complete the name, email, and supported role fields, then upload the file and review every parsed row before confirming.

Correct invalid email addresses, unsupported roles, duplicate entries, and people who belong to another workspace before retrying. Do not upload employee data beyond the columns required by the template.

Change roles

Only a workspace owner can change another active user's role. An owner cannot change their own role through this control, and the final owner cannot be removed from the owner role.

Before reducing or removing access, review whether the person is:

  • assigned to active tasks or incidents;
  • a member of a lead-routing group;
  • the mapped owner for Salesforce routing;
  • connected to a calendar used for booking; or
  • responsible for a workflow approval or other operational handoff.

Reassign dependencies first so automation and bookings do not silently lose an eligible owner.

Connect a Google Calendar

Each user row shows calendar status. A user connecting their own calendar can open the authorization flow directly. When an administrator is preparing another representative, copy the calendar invitation link and send it privately to that person.

The representative must open the link, sign in to the correct Google account, review the requested calendar access, and complete authorization. The status changes to Connected after Marcenta receives the successful connection.

Treat calendar invitation links as private. Do not place them in public documentation or broadly accessible channels.

Disconnect a calendar

Authorized administrators can disconnect a user's calendar from the user action menu. Disconnecting prevents future availability checks and bookings for that calendar while preserving historical booking records.

Remove the user from affected routing groups or provide another eligible calendar before disconnecting when uninterrupted booking matters.

Workspace deletion

Only the workspace owner can permanently delete the workspace. The confirmation requires the exact workspace slug. Deletion is irreversible and removes associated workspace data, so export required records and review legal or retention obligations first.

Removing a user or calendar can interrupt live routing. Review routing groups, Salesforce owner mappings, workflows, tasks, and incidents before making the change.
